Convert Timesheet PDFs to Your Excel Payment Template
When a client sends timesheet details inside an invoice PDF, a generic converter still leaves you cleaning columns and retyping identifiers. ParseToSheet reads text-based or image-only PDFs, then fills the payment or reconciliation template you already use with worker IDs, descriptions, units or hours, rates and amounts. Review flagged values, correct them in chat, and export the sheet.

Not just a PDF to Excel converter
A generic PDF-to-Excel converter gives you a brand-new spreadsheet that you still have to clean up and reshape.
ParseToSheet fills the spreadsheet structure you already use — paste your template and the data lands in your columns and cells.
Then keep editing in chat — you can ask AI to:
- correct an OCR-misread worker or timesheet ID
- move units, rates or amounts into the right columns
- calculate units multiplied by rate
- add totals and reconciliation formulas
- rename or reorder columns
- fix a value before payment export
Review the AI-filled cells before exporting; if you ask AI to add formulas, check them too.
How it works
- 1
Upload one PDF
Drag in a single PDF. Scanned documents are read automatically with OCR.
- 2
Paste your Excel template
Copy the exact columns/layout you use from Excel, WPS, or Sheets and paste them in — your formatting is kept.
- 3
AI fills the template
It extracts the data from the PDF and maps each value into the matching cells of your template.
- 4
Refine in plain English, then export
Not quite right? Tell it what to change in chat (e.g. “move the tax into column F”), then download the result with the Export Excel button.
What AI can pull out
Example fields from an invoice-backed timesheet:
| Invoice ID | Worker ID | Date | Description | Hours | Rate | Amount |
|---|---|---|---|---|---|---|
| TS-1048 | WK-221 | 2026-06-03 | Site inspection | 7.5 | 42.00 | 315.00 |
| TS-1048 | WK-221 | 2026-06-04 | Reporting | 4 | 42.00 | 168.00 |
| TS-1048 | WK-221 | 2026-06-05 | Travel time | 2 | 25.00 | 50.00 |
Sample columns and values for illustration only.
Fields it captures
- Invoice or timesheet ID — the unique reference used to prevent a payment being entered twice.
- Worker / contractor ID — the person or supplier the work belongs to.
- Work date — the date for each shift, task or billed line.
- Description — the work, project or activity recorded on the line.
- Units / hours — the quantity of work being billed.
- Rate — the agreed amount per unit or hour.
- Line amount — the billed value for the line.
- Total — the invoice or timesheet total when shown.
Where teams use it
Contractor payments
Move invoice-backed timesheets into the spreadsheet used to prepare or approve payments.
Staffing and labour reconciliation
Keep worker IDs, shifts, hours and rates aligned in a fixed reconciliation layout.
Image-only client PDFs
Use OCR when the timesheet is a scan and Excel cannot import or copy its text.
Repeated monthly processing
Save the current spreadsheet template in the browser and load the same layout for the next PDF.
How it compares to a plain PDF-to-Excel converter
| Aspect | Plain converter | ParseToSheet |
|---|---|---|
| Destination | Creates a new generic spreadsheet. | Fills the payment template you already use. |
| Image-only PDF | Excel import may return no usable table. | OCR reads the scan before mapping values. |
| Identifiers | IDs can drift into the wrong rows during cleanup. | Fields map to the columns you define and remain available for review. |
| Corrections | You manually re-key the converted output. | Correct a value or request a calculation in chat. |
Limits & good to know
- Text-based and scanned PDFs are processed in batches of up to 5 pages.
- For larger files, process one batch, fill or organize it, then continue with the next batch.
- Each batch consumes 1 credit when you click Auto-fill or Make a table.
- One PDF per upload; batches come from the same uploaded file.
- AI-extracted values should be reviewed before you rely on them — extraction is not guaranteed to be perfect.
- One PDF per upload — longer documents are processed in batches of up to 5 pages from that file.
- The saved-template feature stores the current layout in this browser; it does not sync between devices.
- Verify worker IDs, units, rates and payment totals against the source before approving payment.
Frequently asked questions
How do I convert a timesheet PDF to Excel?
Choose the Invoice / timesheet workflow template or paste your own Excel layout, upload the PDF, and let AI fill the columns. Review flagged values, make corrections in chat, then export the workbook.
What if the timesheet is an image-only PDF?
ParseToSheet uses OCR when a PDF has no usable text layer. OCR accuracy depends on scan quality, so verify IDs, decimal values, units and rates before payment.
Can I use my existing payment spreadsheet?
Yes. Paste the columns and layout you already use. You can also save the current template in this browser and load it again for a later document.
Does it automatically verify hours multiplied by rate?
You can ask the chat to add or check the calculation, but you should still review the formula and compare the result with the source document before approving payment.
Can I upload a folder of timesheets at once?
Not currently. The tool accepts one PDF per upload and can process longer PDFs in 5-page batches. This page does not claim multi-file batch upload.
