Fill an Excel Template from a PDF
This is the strongest reason ParseToSheet isn't a plain converter: you bring your own template. Paste the exact Excel layout you use, upload a PDF, and AI fits the data into your columns and cells while keeping your formatting — not a generic new file. Then run the sheet like a chat-powered assistant: fix values, add formulas, calculate totals, create summary rows, or reshape columns before export. Works for common structured PDFs and most table layouts.

Not just a PDF to Excel converter
A generic PDF-to-Excel converter gives you a brand-new spreadsheet that you still have to clean up and reshape.
ParseToSheet fills the spreadsheet structure you already use — paste your template and the data lands in your columns and cells.
Then keep editing in chat — you can ask AI to:
- fix any extracted value
- move data to the right column or cell
- add or adjust formulas
- calculate totals and subtotals
- create summary rows
- adjust the column structure
- refine the whole sheet before export
Review the AI-filled cells before exporting; if you ask AI to add formulas, check them too.
How it works
- 1
Upload one PDF
Drag in a single PDF. Scanned documents are read automatically with OCR.
- 2
Paste your Excel template
Copy the exact columns/layout you use from Excel, WPS, or Sheets and paste them in — your formatting is kept.
- 3
AI fills the template
It extracts the data from the PDF and maps each value into the matching cells of your template.
- 4
Refine in plain English, then export
Not quite right? Tell it what to change in chat (e.g. “move the tax into column F”), then download the result with the Export Excel button.
What AI can pull out
Your template can use most table layouts — e.g. a field/value form like this:
| Field | Value |
|---|---|
| Reference | REF-7781 |
| Date | 2026-04-02 |
| Counterparty | Globex Ltd |
| Amount | 1,240.00 |
| Status | Approved |
Sample columns and values for illustration only.
Fields it captures
- Header values — single fields like reference, date or total into your header cells.
- Line items — repeating rows mapped into your table area.
- Key/value pairs — form-style fields mapped to a two-column layout.
- Your own columns — AI fits the data to the headers you define, not a fixed schema.
Where teams use it
Custom report templates
Keep your own column order and headers — AI fills them rather than forcing a fixed schema.
Form-to-table entry
Turn structured PDF forms into a row (or key/value sheet) that matches your template.
Repetitive document entry
Reuse the same template across many similar PDFs to keep output consistent.
Common structured documents
Statements, invoices, POs and similar structured documents — map them to the template you need.
How it compares to a plain PDF-to-Excel converter
| Aspect | Plain converter | ParseToSheet |
|---|---|---|
| Output | Often a fixed grid or CSV you then adapt. | Fills the template you paste, in your column order. |
| Formatting | Usually lost or generic. | The formatting of your pasted template is kept. |
| Layout | One-size output. | Key/value, single row, or a wider report — your choice. |
| Corrections | Manual edits after export. | Describe the change in chat. |
Limits & good to know
- Text-based and scanned PDFs are processed in batches of up to 5 pages.
- For larger files, process one batch, fill or organize it, then continue with the next batch.
- Each batch consumes 1 credit when you click Auto-fill or Make a table.
- One PDF per upload; batches come from the same uploaded file.
- AI-extracted values should be reviewed before you rely on them — extraction is not guaranteed to be perfect.
- Formatting is preserved by pasting your existing template — AI fills values into it, it does not redesign your layout.
- Review filled cells before use; complex or low-quality PDFs may need manual touch-ups.
Frequently asked questions
How do I fill my own Excel template from a PDF?
Paste your template (the exact columns/layout you use) into the tool, upload the PDF, and AI maps the document’s data into your cells. Adjust anything in chat, then copy it back into Excel.
What kinds of templates work?
Most table layouts — a row of columns, a key/value form, or a wider report. Because you paste your own template, the output keeps your structure and formatting.
Does it keep my formatting?
Yes. You paste your existing Excel/WPS/Sheets template, which preserves your formatting; AI fills values into it rather than generating a new layout.
Which documents can I use?
Common structured PDFs, text-based or scanned with OCR — scanned results depend on scan quality, so review before exporting. Larger files are processed in batches of up to 5 pages from one uploaded PDF.
